Build a contact map
List who handles enrollment, records, course questions, and student support. Give the family a starting contact who can help coordinate those offices. Where appropriate, connect with a school liaison through the official directory rather than an old copied contact sheet.
Distinguish receipt from resolution
A records request, a received document, and a completed review are different milestones. Explain the next step and who communicates it. Let your authorized staff evaluate individual situations under the applicable rules; the welcome page should not make blanket placement or credit promises.
Plan the social arrival too
Ask how a student joining midyear learns ordinary routines and finds activities. Consider a staff introduction, a peer welcome consistent with school procedures, and a follow-up conversation. A family may understand the forms while still feeling uncertain about daily life.
Walk through a fictional midyear arrival. Identify one place the family would have to retell the same story. Assign an owner to simplify that handoff, then test the revised instructions.
Keep personal records within approved channels. A public welcome guide needs directions and contacts, not the details of a family’s assignment or circumstances.
